I started sending recaps after every meeting and my revision requests got cut way down
I run a small moving company in Boise and I kept getting into arguments with customers about what we agreed on. Someone would swear they never approved the extra packing fee, or that we promised to disassemble the bed for free. Three weeks ago I started typing a short recap email right after every walkthrough or phone chat, listing exactly what we talked about and what it costs, and asking them to reply with a simple yes. Since then I've had zero disputes, and one customer even replied 'this is the first time a mover ever put it in writing for me.' It takes me about four minutes per recap but it has saved me way more than that in headaches. Does anyone here do something similar, or is there a faster way to get that same paper trail?
The recap thing is solid but heres the part nobody talks about: that email isnt just for the customer, its evidence. If a guy ever takes you to small claims court over a moving bill, a recap he replied "yes" to is basically a signed contract in the eyes of a judge. Texts and phone calls are a mess to prove, but an email chain with his own reply in it is gold. So even the four minutes you spend feels like a cost, its really cheap insurance. One thing you could add is a line at the bottom like "if i dont hear back by tomorrow i'll assume this is right" so a non reply still kind of works in your favor. Takes zero extra time and closes the loop on the people who never answer.
